Privacy policy

1. Information we collect

Information you give us

• Your account: your name, email address and password (stored only as a secure hash), and your two-step sign-in settings.
• Your business: its name, description, location, industry, brand colours, fonts and logo, and the answers you give our agents about it.
• Your files: product photos, gallery photos and videos, music and other files you upload for your posts.
• Your content: the posts, captions, blog articles and plans our agents make for you, and the changes, approvals and feedback you give them.
• Billing: your plan and payment history. Card and bank details are handled by our payment provider, Paystack; we never see or store full card numbers.

Information from accounts you connect

When you connect a social media account (such as TikTok, Instagram, Facebook, LinkedIn, Threads, YouTube or Bluesky) or a WordPress site, you choose to give us permission through that platform. We receive only what is needed to post for you:

• the account's ID, name, username and profile picture, so you can see which account is connected;
• permission to publish the posts, photos and videos you approve, and the status of those posts once published;
• for WordPress, your site address, username and an application password, which we store encrypted.

We don't read your private messages, contacts or followers' personal information, and we don't post anything on your behalf except what you have set up or approved in eOffice AI Studio.

Information collected automatically

• Security records: sign-ins, failed sign-in attempts, password and email changes, and important actions in your account, so we can protect it and investigate problems.
• Cookies: we use only the cookies needed to keep you signed in and secure. We don't use advertising or tracking cookies.

2. How we use your information

• to run your account and provide the service you signed up for;
• to have our AI agents research, plan, write and design posts and articles for your business;
• to publish the content you approve to the accounts and sites you connected;
• to process payments and send receipts, renewal reminders and service emails;
• to keep the service secure, prevent abuse and fix problems;
• to meet our legal obligations.

We use your information because you have a contract with us (to provide the service), because you gave consent (for example, when you connect an account), because we have a legitimate interest in keeping the service secure, or because the law requires it.

We do not sell your personal information, and we don't use it, or data from your connected accounts, for advertising.

3. Who we share it with

We share information only with the service providers that help us run eOffice AI Studio, and only what each one needs:

• Supabase: our database, file storage and sign-in system.
• Google (Gemini): the AI models that write and create content. We send them your business details, files and instructions needed for each task.
• Outstand: connects your social media accounts and publishes your approved posts to them.
• Cloudinary: prepares videos for publishing (for example, adding music or an ending).
• Paystack: takes payments.
• our web hosting and email delivery providers.

The social networks and WordPress sites you connect receive the content you publish to them, under their own privacy policies. We may also disclose information if the law requires it, or to protect the rights and safety of our users or the public.

4. Information from TikTok

If you connect a TikTok account:

• we receive your TikTok account's basic profile information (account ID, display name and profile picture);
• we use it only to show you which account is connected and to publish the videos and photos you approve to that account;
• we don't sell it, share it with anyone except the providers above to deliver the service, or use it for advertising;
• you can disconnect TikTok at any time in eOffice AI Studio, or remove our access in your TikTok app settings. When you disconnect, we stop using the connection and delete the stored account details.

5. Where your information is stored

Our service providers may store and process information outside Nigeria, including in the European Union and the United States. When they do, we rely on safeguards allowed by the Nigeria Data Protection Act, such as contracts that require them to protect it.

6. How long we keep it

We keep your information while your account is active. If you ask us to delete your account, we delete your personal information and content within 30 days, except records we must keep by law (such as payment records) or to resolve disputes, which we keep only as long as required.

7. How we protect it

We use encrypted connections (HTTPS), store passwords only as secure hashes, encrypt stored passwords for connected sites, keep each business's data separate from every other business, offer two-step sign-in, and limit access to the people and systems that need it. No system is perfectly secure, but we work to protect your information and will tell you and the regulator about a breach where the law requires it.

8. Your rights

Under the Nigeria Data Protection Act, you can ask us to:

• give you a copy of the personal information we hold about you;
• correct information that is wrong or incomplete;
• delete your information;
• restrict or object to how we use it;
• send your information to you, or to another service, in a common format;
• withdraw your consent at any time (for example, by disconnecting an account).

Email us at privacy@eoffice.ng from your account's email address and we'll respond within 30 days. If you're not satisfied with our answer, you can complain to the Nigeria Data Protection Commission.

9. Children

eOffice AI Studio is for businesses and isn't meant for anyone under 18. We don't knowingly collect information from children.

10. Changes to this policy

We may update this policy. When we make important changes, we'll tell you by email or in eOffice AI Studio before they take effect. The date at the top shows when it last changed.
